      1. HRC Commissioners Report
        1. Steven's report:
          • Last time we met was before the seminar.  Had a successful Genealogical society seminar.  Historical Society is still planning to have the Finding History Day on August 6.
        2. Margaret's report:
          • No update
        3. Gretchen's report:
          • Working on the spreadsheet
          • Worked with Don Silverek to remediate and digitize the broken glass plate negative of the Sonoma County Courthouse found in City of Santa Rosa files. It appears the negative is the same as a print in the Sonoma County Library collection and I’ll be taking steps to formally offer the negative and copies of the digital files to the Library to add to their collection.

      2. Library Commissioner Report  
        1. Update by Deborah Doyle:
          • Moving toward approving the budget
          • Had a full commission meeting and accepted our New Facilities Master Plan final report: Consultant looked at all the buildings owned by the various cities, towns, and the county. What they need and how much it might cost.
          • Steve: Have you filed the other commissioner spots?
            • No we have not.  Each town has their own way of appointing commissioners.  There is a potential third vacancy.
        2. Update by Erika Thibault: 
          1. First Summer Reading in person in 2 years and very excited about that
          2. Guerneville regional library has been operating out of its meeting room during renovations. Target date for reopening is June 2.
          3. Sonoma Valley Library working to install outdoor book lockers that will give patrons 24/7 access to holds. Hoping to add these to all the regional libraries and locations in the county that do not have library service.
            1. Need electrical and internet line for that service.
          4. Sunday Service, hoping to open in late-August, early-September. Will need to hire about 19 new staff members.
          5. Steve: What is the status of the MOU?
            • Erika: In preliminary stages. Parties are working to outline their wants and needs and will meet to compare
            • Nour: Not referring to an MOU. We are discussing an operational agreement. Looking at learning from what we have discovered in Yolo County and looking at other examples.  Start with Library’s proposal and build upon that.  Not sure how long the process will take but hoping for a draft at end of May.
          6. Steve:  With Petaluma Branch refresh, is the Petaluma History room going to be moved?
            • Erika: it is going to move to the first floor due to ADA issues. Not sure of square footage but will be more accessible to the public in the new location.
          7. Steve: Any funds in the budget targeted for the Archives?
            • Erika: I don’t know off the top of my head. Any materials we would use to process materials would be in the Materials and Supplies line item.
            • Steve: concerned about ongoing costs and wondering if the library was being proactive about that.
            • Erika: We do have a line item in our budget for those types of supplies but I cannot give specifics.
          8. Steve: We have talked about seeing facilities in Sacramento or Santa Cruz. Is that still in the works?  History Sacramento has Archives.  I am willing to organize another trip or two.  Deborah or Erika to reach out to Ann on the status.
            • Nour: I did some research, I liked the Sacramento model and would like to learn more and I think it would be useful.
      3. Archives Activity Report
        1. Update by Zayda Delgado:
          • Month of April: 5 county requests and 4 public requests
          • Posted a Part Time Library Associate position, hoping to get that filled in June.
          • Discussion on converting the Senior Library Associate position to a Librarian position.  This conversion will go before LC in June.
      4. Collections & Archives Recognition Awards
        1. HRC members to review current Award guidelines and nomination form and come with updates to discuss at the June meeting.
      5. Outreach
        1. Update on the 2004 HRC/Landmarks Commission Pamphlet, “ Researching the History of Your Sonoma County Building”:
          1. Update by Margie Purser:
            • Simone Kremkau has been through the entire document now to review for H&G Library and Library that everything looks coherent and consistent. Updated any online resources.
            • Draft will be available for Finding History Day.
        2. Other California County Historical Records Commission
          1. Gretchen is working on the document
        3. Sonoma County Historical Society 60th Anniversary and Sonoma County Finding History Day, Saturday, August 6, 2022, Finley Community Center, 10AM-2PM
          • Steve and Margaret will be able to host the HRC table
          • HRC members to review brochure and come with updates to discuss at the June meeting.
        4. HRC member vacancy update
          • No further update at this time
        5. Clerk of Board of Supervisors pre-1906 BOS Meeting Minutes 
          • Zayda has reached out to Marcie but has not yet received a response.
          • Checked the Archives to see if there was space and it looks like that is possible.
          • Secretary to email out Clerk of the Board retention schedule
          • Secretary to add to Archives Activity Report section of the agenda.
