Logging on to ePersonality Self Service

Click on the link below to launch the application or enter the following URL into your web browser:

https://ngssprod.sonomacounty.ca.gov:7012/selfServiceADF/faces/ssLogin 

The following log in screen will appear:

Enter log in information:

Last Name:

Enter your last name. This is not case sensitive.

Employee ID:

Enter your five-digit employee ID number.

Password:

Enter your password. This is case sensitive

If you forget your password, you can click on the “Forgot your password? Click here.” link on the login screen:

You will be redirected to the following page:

Enter your legal first and last name as well as employee ID number. The system will generate a new password and email it to your work email address. If you do not receive an email with your new password or you have any other issues obtaining a password, contact Tamara Kallhoff (Tamara.Kallhoff@sonoma-county.org) and she will check to see if the system has your correct email address.

Click the Log In button on login screen or Continue on the generate password screen. The Employee Self Service main menu will display:

Logging Out of ePersonality Self Service

After you have completed your changes in ePersonality Self Service, for security reasons, you should always log out of the application. You can log out of the system in any of the following ways:

  • Click the EXIT button in the top right corner of the application.
  • Click the X or Close button on the browser window.

Understanding ePersonality Self Service Navigation

Navigation Buttons

The ePersonality Self Service application is contained within a web browser window. For this reason, you must use the navigation buttons within the Self Service page to navigate through the application. When a navigation button is available to be used, it will light up orange.

Back and Forward

Clicking the BACK or FORWARD arrows on your web browser will navigate you out of the application. If you want to go back or forward within the application, you must click the BACK or FORWARD button located at the top right of each page:

Help

For help, go to the Help Tools section on the ePersonality Self Service main menu.

Home

Clicking the HOME button will return you to the Employee Self Service main menu.

Exit

Clicking the EXIT button will log you out of Employee Self Service.

Command Buttons

Within each screen/function of Employee Self Service are command buttons at the top right of the page (below the navigation buttons). Command buttons can be used to save, undo, or print a page. These buttons will light up orange when available to use.

Apply Changes

Clicking the SAVE button (eP Save Icon) will apply any new changes made to the page you are on.

Undo Unsaved Changes

Clicking the UNDO or REVERT button (eP Undo button) will undo any changes made since the last save.

Print View

Clicking the PRINT button (eP Print Icon) will open a printable copy of the screen you are looking at.

Navigation Menu

To open the Navigation menu, click on the directional button (eP Directional icon).

Document Library

This is an alternative way to navigate to the same links listed on the Employee Self Service main menu. The Document Library contains links to useful websites or forms that you may need when using Employee Self Service. Each link will launch in a new web browser.

Personal Information

This is an alternative way to navigate to the same screens listed on the Employee Self Service main menu. This is useful when you want to navigate from screen to screen without navigating back to the main menu each time.

Pay Information

Attendance Information

Benefits

Training

Self Service Screen/Function Navigation

The Employee Self Service main menu is broken down into several sub-menus. Within each sub-menu are links to screens/functions where information can be viewed or changed. Specific instructions on each screen/function will be available through computer based training videos or individual documentation pamphlets.

Employee Information

Personal Information

Use this screen to make changes to your personal information including address, phone number and email.

Select Electronic Stub Only

Use this screen to request electronic pay stubs only, instead of having them mailed to you.

Work Assignment Information

This is a view only screen where you can review details about your assignment.

Change My Password

Use this screen to change your password to the self-service application.

Pay Information

Change Your Taxes

Use this screen to change your Federal Filing Status, number of exemptions and State Filing Status.

Pay Line History

This is a view only screen where you can find pay line history grouped by pay period.

Historical Pay Information

This is a view only screen where you can find historical pay information by pay period.

View Online Pay Stub

Use this screen to view past pay stubs online. This screen can be printed.

Single Page Deposit Stub Report

Use this screen to retrieve copies of pay stubs for multiple pay dates or a single pay date.

W2 Form

Use this screen to retrieve copies of your W-2s.

Attendance

Leave Balances

Use this screen to view leave balances.

Leave History

Use this screen to view the history of leaves you have taken.

Benefits

View Dependent Information

Use this screen to view your dependent information on file and enrollment history for their medical benefits.

Current Benefit Information

Use this screen to view your current medical, life insurance and retirement benefits.

Current Benefits (with Dependent(s))

Use this screen to view current benefits with dependents.

My Training

Message Board

eP Message Board 350

The message board will update periodically with important news or information about Employee Self Service.

Document Library

The Document Library contains links to useful websites or forms that you may need when using Employee Self Service. Each link will launch in a new web browser.

Help Tools

eP Help Tools 350

Click on the User Instructions link to access instructions for using Self Service. A new browser window will open with the Human Resources Management System (HRMS) website. Click on the Employee Self Service Instructions link located on the left hand side of the website.

eP Benefits Forms 350

Click on the Hartford Beneficiary Form to make changes to your life insurance beneficiaries. The Premium Conversion Election Form to change the payroll pre-tax/post-tax deduction for your health plan premium costs. Each link will launch in a new web browser.
