Steps to Hire a Care Provider

  • If you’d like to hire someone you know to provide in-home care, call payroll at (707) 565-2852 to start the enrollment process. 
  • To find a caregiver through the IHSS PA Registry, call us at (707) 565-5700. We'll provide a list of pre-screened caregivers that you can interview for the job.

Step 1: Call to Request Provider Referrals

Call us at (707) 565-5700 if you are:

  • Seeking a new caregiver for yourself
  • A family member or parent helping your loved one hire a care provider
  • A medical professional requesting a referral for your patient
  • A supportive services agency inquiring for a client

Step 2: During the Intake Call

A Registry Coordinator reviews the number of service hours IHSS approved for you, your needs and your desired care schedule.

Unless you've chosen a family member or friend to provide care, the Coordinator will give you a list of pre-screened care providers from our Registry that you can interview. We have checked their references and backgrounds. We only offer referrals from providers signed up with our Registry.

Afterward, you’ll receive a paper copy of the IHSS Public Authority Consumer Handbook by mail (you may view it online here). It details our services and your role and responsibilities as a care provider employer, including how to:

  • Interview and hire caregivers
  • Develop a care provider schedule
  • Keep track of your care provider’s hours
  • Complete time-sheets and payroll paperwork
  • Build a good relationship with your caregiver employee
  • Change your care provider

Step 3: Interview and Choose a Care Provider

Hiring is your decision. As the employer, interview caregivers to be sure they meet your needs. You may wish to check their references again. When you’re ready, choose the person that best suits you.

Step 4: Call to Notify Us and Get Started

Call IHSS PA or your Registry Coordinator at (707) 565-5700 to let us know who you have hired. We will make sure your care provider has the paperwork needed to get started. Sign the Care Provider Enrollment Agreement, and ask your caregiver to send it to us in the envelope provided.

Step 5: Complete Timesheets for Payroll

 After your caregiver begins providing care, you will be responsible for signing completed timesheets. Be sure your care provider has fully filled out the form before you sign and approve it. Your caregiver then submits the approved timesheets for processing and payment using the envelope provided.

Find an Urgent Substitute Care Provider

Call us if your regular care provider suddenly gets sick or is absent, and you require help with specific and crucial needs (such as getting someone out of bed or picking up critical medications). 

An urgent substitute care provider can only visit you during an absence you didn’t expect -- not a caregiver’s vacation or scheduling conflict. Plan for those in advance. Your social worker or IHSS PA can help you hire help during a care provider's planed absence.

To ask about an urgent substitute care provider, call (707) 565-5719, Monday–Friday, 8 a.m. - 4 p.m. If you get voicemail, leave your name and number so we can call you back.

If you call after business hours or on a holiday or weekend, a voicemail message will provide the phone number of a home care agency you can call. The line is open Monday-Friday, 4 p.m.- 8 p.m., and Saturdays, Sundays and holidays from 8 a.m.- 8 p.m.
